HVAC estimating software that drafts the quote and follows up until you get an answer
System-replacement quotes go cold when they go out late or nobody follows up. Monaxion helps HVAC companies book the estimate visit, draft quotes and invoices from the job details, keep every open estimate in view, and send follow-up sequences on a schedule you set.
Your sales team approves every message before it reaches the homeowner.
To be clear about scope: Monaxion is not a load-calculation or equipment-sizing tool, and it does not replace the person who walks the job. It handles the scheduling, the paperwork and the follow-through around the estimate.

Most lost replacement jobs are not lost on price alone. They are lost to delay and silence.
The quote goes out days later
Draft the quote from the job details soon after the visit, review it, and send it while the homeowner still remembers your tech.
Nobody follows up
Follow-up sequences for open estimates go out on your cadence, approved by sales, so every quote gets an answer.
Questions sit unanswered
When the homeowner replies with a question, it lands in the same inbox as everything else, with a drafted answer ready to edit.
Estimates you cannot see
Keep open estimates in one place instead of in separate email threads, so you know which ones need attention.
Sold jobs still need paperwork
When the job is done, the invoice is drafted with a payment link.
No view of the pipeline
The weekly owner report shows leads, jobs booked, revenue and response times every Monday.
From estimate request to signed job
Book the visit
The request comes in by call, text, form or email. A reply offering a visit time is drafted, and the visit goes on the calendar with a confirmation and reminder.
Draft the quote
After the visit, the quote is drafted from the job details your tech recorded. You review options and pricing before it is sent.
Follow up on your schedule
If the homeowner has not replied, follow-ups go out at the intervals you choose, each one approved.
Close it out
Record the yes or no. For a yes, schedule the install and, when it is done, send the invoice.
What to include in every HVAC replacement quote
Practical advice, whatever software you use. Clear quotes get fewer callbacks and faster decisions.
- The equipment you are proposing, with brand, model and efficiency rating as you selected them
- Scope in plain words: removal of old equipment, line set, electrical, thermostat, ductwork changes and permits, as they apply
- If you offer options, two or three clearly different choices rather than five similar ones
- Warranty terms as you actually offer them, and who to call for warranty service
- Financing terms only if you offer financing, and the date the quote expires
- How the homeowner accepts the quote and what happens next

Can customers pay online?
Invoices go out with a payment link.
What does it cost?
